How do we introduce AI in our company safely?

Step by step is safest. First, get an overview: what can AI do today, which tasks are suitable, and which rules do you need for data protection and approvals? Then assess concrete use cases and decide where to start. In the third step, you implement a first process in a pilot, at schnell.digital within 6 to 8 weeks using the AI Kit. Only once it works in everyday operations do further processes follow. It's important that your team is involved from the start and knows how to use AI safely.

What does the EU AI Act require of our company?

Since 2 February 2025, companies that use AI must ensure that their employees have a sufficient level of AI literacy (Art. 4). The regulation does not prescribe content or formats; what matters is that the competence fits the role and the use case. We support you with training for your teams and, if you want to regulate AI use in a documented way, with a roles and approval concept and documentation of your operator obligations. For individual legal questions, we also recommend consulting your legal advisor.

What does AI automation specifically deliver for mid-sized companies?

AI automation relieves departments of recurring manual tasks and gives employees time back for value-adding work. Typical areas of use in mid-sized companies are handling standard customer service inquiries, creating quotes, quick access to internal company knowledge and processing incoming documents such as invoices and forms. What matters is that automation fits into existing processes. With the schnell.digital AI Kit, processes run in the background of your existing systems, and your team keeps working in its familiar tools. The AI Kit is operated in compliance with GDPR in a data center in Germany or on your own servers.

How much time does process automation with AI save?

It depends on the process. The relief is greatest for tasks that occur frequently and always follow a similar pattern, such as standard inquiries, draft quotes, data transfers or capturing incoming documents. Processes that require human judgment can be prepared, while the decision stays with your team. Is AI automation GDPR-compliant and secure?

Yes, when implemented properly. At schnell.digital, GDPR compliance is a basic requirement. The AI Kit runs in a data center in Germany or on your own servers, and you receive a data processing agreement. Your company knowledge is used, but the AI models are not trained on it. Personal data can be pseudonymized before processing. Every project starts by clarifying which data is processed, where it is stored and who has access. We provide the documents you need for internal compliance reviews and audits.

Do you need your own IT department for AI automation?

No. The schnell.digital AI Kit is designed for business departments. Your employees describe processes in their own words, and nobody needs programming skills for that. Automation runs in the background of your existing systems. Even after the rollout, you don't need to build your own AI team: the schnell.digital team takes care of maintenance, support and further development. In more than 75 projects since 2017, we have worked with mid-sized companies in the DACH region, some of which had neither an IT department nor any AI experience.

How long does it take to implement AI automation in a company?

A pilot takes 6 to 8 weeks from project start. Beforehand, the free process check or an initial call clarifies where automation would have the biggest impact. We then set up the first process in the AI Kit with your real data, test it with your team and take it live. We plan larger projects involving several systems and departments in stages. Many companies start with a manageable pilot and then transfer the approach to further processes.

What does AI automation cost for mid-sized companies?

Costs consist of two parts. The schnell.digital AI Kit costs from €349 per month in the cloud and from €990 per month in your own data center. You pay model costs directly to the provider with your own API key, without any markup. For consulting and implementation, there are clear packages and scopes from €950 to €16,900, all net. In the free initial call, we work out together what savings are realistic for you. We discuss all cost components transparently before the project starts.

Does AI automation work with our existing systems?

Yes. The AI Kit fits into existing system landscapes. Via connectors to ERP, CRM and specialist systems, data automatically flows to where it is needed. Your employees keep working in their familiar systems, and the AI runs in the background.

Which processes are best suited for AI automation?

The best candidates are processes that occur frequently, follow a recurring pattern and are currently handled by hand. Is ChatGPT or Microsoft Copilot enough for our company?
